How the sequence works

Phase 1

Research intake and decisions

Create a fair, traceable path from submission to the final scientific decision.

Call for abstracts

Begin with a submission portal that reflects the scientific aims of the event. The committee can define submission types, topics, questions, file requirements, author rules and deadlines. Researchers create an account, add co-authors, save a draft and receive confirmation when the record is complete.

Peer review

Assign eligible submissions to reviewers manually or by subject expertise. The committee can choose open, single-blind or double-blind review, set scoring criteria, manage conflicts of interest and monitor workload and completion. Reviewers work from a focused dashboard and submit scores and comments against the same abstract record.

Acceptance

Bring reviewer scores, recommendations and committee judgement together to record a decision. Authors and co-authors can be notified in organised batches, with the correct decision letter and next steps. Accepted contributors may then confirm participation, revise their submission, upload a final paper or presentation, and complete any required registration.

Phase 2

Build the scientific programme

Convert accepted work into coherent sessions, prepared speakers and a publishable timetable.

Session creation

Turn accepted abstracts into programme items without re-entering the research data. Programme chairs can group related papers into oral sessions, poster sessions, panels or other formats, then add a chair, moderator and presentation order. The relationship between the abstract, its authors and the resulting session stays intact.

Speaker management

Give presenters, chairs and invited speakers one place to maintain their profile and complete assigned tasks. Organisers can request a biography, photograph, disclosures, final slides, papers or pre-recorded material, then filter the dashboard to see what is missing. Speaker roles remain linked to the sessions in which each person participates.

Programme scheduling

Place sessions into dates, times, rooms, tracks and formats while checking speaker and room conflicts. Add moderators, capacity, access details and supporting files, then publish the approved programme to the event website and app. Participants can search the schedule and build a personal itinerary from the same current version.

Phase 3

Deliver the participant experience

Connect registration, programme access, on-site attendance and recognition around each participant.

Attendee registration

Open registration with the participant categories, tickets, questions, consent and payment rules required for the event. Author, reviewer, speaker and attendee roles can be recognised within the same contact record. Registration does not need to wait for the final programme; it can run alongside submissions and review, then use the published programme as it becomes available.

Event app

Carry the current programme, abstract and speaker information into the participant experience. Attendees can review sessions, save a personal schedule, find people and receive important updates. Depending on the event setup, the app can also support meetings, discussions, questions, polls and feedback without creating a separate copy of core event data.

Check-in

Verify participants at the event entrance or at individual sessions using QR scanning, search or an assisted desk. Registration and access rules help staff identify the correct admission, while timestamps create a practical attendance record. Organisers can monitor arrivals and session participation as the event proceeds.

Certificates

Prepare certificate templates for the roles and attendance conditions defined by the event. Names, roles, session details and other approved fields can be merged into the design, allowing organisers to generate personalised certificates in batches. Attendance records can help determine who qualifies before certificates are distributed.

Preserve the research record

Extend the value of the event with an organised, discoverable collection of approved work.

Post-event archive

Preserve the approved scholarly record after the live event ends. Organisers can publish a searchable collection of abstracts, ePosters, programme information, proceedings and selected presentation material, with access rules appropriate to the event. Because the archive grows from the reviewed records and programme, readers can discover work by author, title, topic or keyword instead of searching through disconnected files.
