Hybrid Event Planning Checklist for Saudi Organisers
Treat onsite and remote attendees as one audience with different access needs—not as a main event plus an online afterthought.

Start with one purpose and two attendee journeys
Begin by stating why the event should be hybrid. Wider geographic reach, continuity for people who cannot travel, access to specialist speakers and a longer life for recorded content are useful reasons. “Because everyone else offers streaming” is not. Define the outcome for the organiser, the onsite attendee and the remote attendee. The three views will overlap, but they will not be identical. A delegate in Riyadh may value room discussion and informal introductions, while a remote participant may value reliable access, clear navigation and the ability to revisit sessions after work hours.
Map both journeys from invitation to follow-up. Record how each audience discovers the event, registers, pays, receives instructions, enters the event, finds sessions, asks questions, meets people, gets help and accesses recordings or certificates. Mark every place where the journeys meet. Shared sessions, questions, polls, profiles, meetings and announcements should feel like parts of one programme. Where the experiences must differ, explain the difference openly rather than allowing the remote experience to appear incomplete.

Choose the hybrid format before fixing the budget
Not every room or session needs to be streamed. A fully simultaneous event broadcasts most of the live programme and enables remote interaction in real time. A selective model streams important plenaries and chosen tracks while other sessions remain onsite. A staged model combines live moments with recordings released later. Choose according to audience needs, programme rights, production capacity and the importance of real-time participation. The format determines the venue specification, platform configuration, staffing plan and speaker brief, so it should be agreed before supplier quotations are compared.
Build a budget with visible lines for both delivery modes. Include venue internet, a dedicated production connection, AV equipment, cameras, microphones, lighting, encoders, technicians, streaming services, platform access, captioning, recording, editing, virtual moderation, remote support and backup connectivity. Add internal time for configuration, content preparation, rehearsals and reporting. Keep a contingency for failed equipment or an additional production day. A realistic hybrid budget does not divide the onsite budget and append a small “virtual” allowance; it describes the complete production system.
Create a single registration and identity journey
Use one registration structure that identifies participation mode without creating disconnected attendee lists. Ask only for information required to deliver the selected experience. Onsite attendees may need venue, travel, accessibility or dietary questions. Remote attendees may need time-zone guidance, caption or interpretation preferences and technical instructions. If a person can change mode, define the deadline, fee effect, capacity rule and communication that follows. Test ticket limits, approval paths, discount codes, invoices, payment results and confirmations for both journeys.
A connected record should follow the participant into the website, programme, event app, virtual sessions, check-in, networking, email, surveys and certificates. This reduces duplicate accounts and gives support staff a clearer view when someone cannot enter. Explain how attendees sign in, when access opens and which email address is attached to the account. Avoid distributing generic meeting links that bypass identity and permissions. Where single sign-on is used, test new users, returning users, password recovery, changed email addresses and attendees joining from restricted organisational networks.
Specify the venue, network and AV as one system
Ask venues for measured connectivity information rather than a general promise of Wi-Fi. The production stream should use a wired connection separated from attendee traffic wherever possible. Estimate bandwidth for the planned video quality and concurrent rooms, then test with the actual encoders and platform. Provide a secondary path using another circuit or suitable mobile connectivity, and decide exactly when the producer will switch. Confirm power, cable routes, loading access, equipment security, lighting control, acoustics and the positions available for cameras and technicians.
Audio deserves more attention than decorative video. Remote participants will tolerate a simple camera angle more easily than unclear speech. Give every speaker and questioner an appropriate microphone, route presentation and room audio into the stream, and prevent the online return feed from creating echo. Decide whether remote speakers will be heard through the room system and how they will see the chair, slides and audience. Label equipment, carry tested spares and document the signal path so another technician can understand it during an incident.

Use the platform as the programme’s shared source
The website, registration confirmation, event app, virtual lobby and staff run sheet should draw from the same approved programme record. When a title, speaker, room or time changes, the update should not be copied manually across several tools. Establish who may edit the programme, who approves publication and how affected attendees are notified. Check language versions, time-zone display, room access, capacity, session visibility and the release time for recordings. Give staff a controlled preview before the public update goes live.
Configure access by role and ticket rather than assuming every link is public. Speakers may need a backstage entrance, moderators may need control tools and attendees may need access only to sessions included in their registration. Test chat, questions, polls, session files, meetings and notifications with representative accounts. Confirm browser and mobile support and tell participants what is required before the event. Design sessions for a room and a screen
Long room presentations often lose remote attention. Build sessions with a clear opening, shorter content blocks, planned interaction and a visible close. Tell the online audience what they can do and when. A virtual host can welcome people before the room begins, explain questions and polls, fill short transitions and close the stream cleanly. Avoid broadcasting empty rooms during breaks. Use an intermission screen, short recorded material or a scheduled pause with an accurate return time.
Plan the Saudi schedule around the actual audience. Consider prayer times, venue movement, meals, working hours and the time zones of important remote groups. Display the event’s reference time zone clearly and let the platform translate times for signed-in users where possible. Do not fill every minute simply because recordings can be watched later. Protect realistic transitions for speakers and technicians, and avoid placing the most interactive virtual activity when onsite participants are moving between rooms. A programme that respects human energy is easier to produce reliably.
Prepare speakers, chairs and moderators for dual delivery
Send a concise speaker pack covering arrival or login time, slide format, microphone use, camera framing, screen sharing, permissions, recording consent, question handling and the contact for urgent help. Ask remote speakers to use a computer, headphones or a suitable microphone, stable internet, front lighting and a quiet setting. Collect presentations early enough to test fonts, video and embedded audio. Keep a local playback copy for each important presentation and agree what the chair will do if a remote speaker disappears.
Every streamed session needs clear room and online responsibilities. The chair guides subject matter and timing. The room technician manages microphones, cameras and displays. The stream producer manages the broadcast. The virtual moderator welcomes remote attendees, watches questions and reports access problems. One person may cover more than one role in a small event, but the responsibilities must still be named. Agree how online questions enter the room, how inappropriate content is handled and how the chair will acknowledge both audiences throughout the session.
Plan participation, networking and sponsor value
Do not measure virtual engagement by whether a chat box exists. Decide which interactions serve the session: moderated questions, polls, reactions, shared exercises, discussion rooms or appointments. Give both audiences a route into the same conversation. A moderator can combine room and online questions without describing one as more important. Publish participation rules and tell attendees whether names or comments will appear in recordings. Use notifications carefully; timely prompts help, while repeated generic alerts train people to ignore the app.
Networking requires structure because remote attendees cannot rely on corridor encounters. Open profiles and meeting requests before the event, suggest relevant contacts, create themed discussion times and reserve slots that work across participation modes. Explain whether meetings use video, chat or a physical location. For sponsors and exhibitors, define deliverables separately: onsite branding and leads, virtual profiles and sessions, meeting opportunities, content placement and reporting. Never promise a lead merely because an attendee viewed a page; agree what counts as an interaction and what information may be shared.
Make bilingual access and accessibility part of production
Arabic and English delivery affects more than the event website. Review registration, confirmations, programme titles, speaker instructions, navigation, notifications, support messages, intermission slides, captions and certificates. Check right-to-left layouts and mixed content such as Arabic names with Latin email addresses. Decide whether sessions use one language, interpretation, separate streams or bilingual moderation, and state that choice before registration. Maintain one content log so a changed room or time is updated in both languages together.
Plan accessibility with attendees and specialists rather than treating it as a final compliance check. Provide meaningful labels, keyboard access, visible focus, sufficient contrast and alternatives for visual material. W3C guidance for live synchronized media calls for captions so people who are deaf or hard of hearing can access spoken content. Caption quality, terminology, language and delay should be tested with the actual production feed. Ask speakers to describe important charts, make slides readable, share accessible files where appropriate and provide a support route for individual access needs.
Rehearse the whole journey and the failure paths
A speaker sound check is not a hybrid rehearsal. Run at least one complete session with the configured platform, venue network, production equipment, remote speaker, room chair, slides, captions, moderator and representative attendee accounts. Start at login, open the lobby, enter the room, play media, ask a question from each audience, run a poll, change a slide, end the broadcast and confirm the recording. Time the handoffs and record every issue with an owner and retest date.
Then rehearse failure. Disconnect the primary internet, mute the wrong microphone, lose a remote speaker, delay a room, publish a schedule change and simulate an attendee who cannot sign in. Write short decision cards for likely incidents: symptom, first check, owner, escalation contact, attendee message and fallback. Decide which failures require pausing, moving to backup, releasing a recording later or cancelling a stream. Calm incident handling comes from agreed authority and prepared communication, not from hoping that every component remains available.

Operate from one run-of-show on event day
The production run-of-show should list time, room, session, speaker state, stream state, media cues, interaction cues, captions, recording, staff owner and contingency. Use one controlled version and give each team a view appropriate to its role. Open technical channels before attendee access, confirm every room, and keep status reporting brief and consistent. Separate production communication from attendee chat so urgent faults do not disappear inside general conversation.
Monitor the experience, not only the equipment. Watch successful logins, stream health, audio, captions, questions and support volume. Place a staff member in the virtual audience using an ordinary attendee account; the producer’s preview may not reveal permission or navigation problems. Keep change authority narrow during live delivery. If a session moves, update the shared programme and send a targeted message rather than allowing separate teams to publish competing instructions. Log incidents and their resolution while details are still fresh.
Close the loop with recordings, reporting and review
Before the event, decide which sessions will be recorded, who may view them, how long access lasts and which edits are required. Confirm speaker permissions and a process for removing material that should not be published. After each session, check the file, captions, title, speakers and access rule before release. A useful archive has searchable descriptions, consistent metadata and a clear relationship to the programme; a folder of unexplained video files is not an attendee benefit.
Review onsite and remote activity separately and together. Useful measures may include registrations, attendance, check-in, viewing time, questions, poll responses, meetings, survey results, support cases and recording use. Numbers need context: a remote attendee who watches a recording may have received more value than someone who briefly entered the live room. Hold a review with programme, production, support and communications teams. Record what should be repeated, changed or retired, then update templates and the next event budget while the evidence is available.

Does every session need to be live-streamed?
No. Stream the sessions that serve the remote audience and that your team can produce well. Selective streaming or a mix of live and later recordings may provide a better experience than broadcasting every room with weak audio, limited moderation or unclear access.
How much internet bandwidth does a hybrid event need?
There is no safe universal number. It depends on the number of concurrent rooms, resolution, frame rate, platform and backup design. Ask the production provider for an encoded-stream calculation, reserve overhead, use a wired production connection and test the complete setup under realistic load.
Which rehearsal is most important?
The end-to-end rehearsal matters most because it tests people, equipment and workflow together. Include login, streaming, slides, remote speakers, questions, captions, recording, support and a failure scenario. Hold it early enough to fix problems, then perform a shorter final check.
How should remote and onsite questions be handled?
